Receptionist

Job Title: Receptionist

Reporting to: Operations/HR Manager

Department: Executive

Job Type: Supportive

Location: Austin, TX

 

Duties & Responsibilities:

  • Book travel for team as necessary
  • Maintain supplies of office and kitchen
  • Point of contact for the building management
  • Responsible for sending out all team memo communications (Birthday emails, Sundae Funday, Visitors in Office, Office Parties, etc.)
  • Order groceries to be delivered for the office weekly; unload groceries and ensure kitchen is fully stocked
  • Obtain bulk discounts and work with preferred vendors for price discounts (plant vendor, IT, copiers, etc.)
  • Order supplies for personnel as needed
  • Maintain cleanliness of office and kitchen; ensure conference room is always meeting ready
  • Coordinate set up of new phones, internet; handle set up of new offices
  • Liaison with and coordinate schedules for outsourced IT company, contractors and designers for office buildout, and our weekly visitors
  • Gather folios for the accounting department when needed
  • Coordinate travel and all logistics for visitors in the office
  • Coordinate and maintain the massage and acupuncture schedules for the office on a weekly basis
  • Maintain clean and visitor ready corporate apartment, coordinate with cleaning service to come to the apartment in between visitors, make sure apartment is fully stocked for visitors, manage the keys for the apartment
  • Handle overflow and provide administrative support to other departments; mainly Operations/HR Manager

 

Deliverables:

  • Well-stocked office and kitchen
  • Source vendors which provide volume discounts to obtain best pricing on supplies, equipment
  • Offices set up and ready for new hires
  • Schedules with all vendors clear and up to date
  • Smoothly executed massage and acupuncture schedules on a weekly basis
